Things You Need to Know

Our YMCA has policies in place for the benefit, safety and welfare of our members, guests and our organization. All policies are approved by the YMCA Board of Directors.

We ask individuals to act in a manner that upholds these principles at all times when they are in our facility or participating in YMCA programs. We expect those using the YMCA to behave in a way that shows respect and caring for others, which includes not using any language or engaging in any action that can hurt or frighten another person or that falls below a generally accepted standard of conduct. Actions not showing respect for others and are not permitted include:

  • Wearing inappropriate attire. Attire must include swimsuits only in the pool area; shoes, shorts and shirt or leotard in other areas of the facility. Clothing with vulgar or profane writing or pictures is not allowed.
  • Using angry or vulgar language; swearing, name calling or shouting.
  • Making physical contact with another person in an angry or threatening way.
  • Engaging in sexual activity or contact with another person.
  • Harassment or intimidation with words, gestures, or body language.
  • Behavior which is inappropriate, threatening or offensive in nature.
  • Stealing or behavior which results in destruction of property.
  • Carrying or concealing devices or objects which may be used as weapons.
  • Using or possessing illegal chemicals or alcohol on YMCA property or in vehicles.
  • Smoking. All YMCA facilities and grounds offer a smoke free environment.

The YMCA conducts regular sex offender screenings on all members, participants, and guests. If a sex offender match occurs, the YMCA reserves the right to cancel membership, end program participation, and remove visitation access.

Members and guests are encouraged to be responsible for their personal well-being. Feel free to ask any person to refrain from any activity that threatens your comfort. If the situation needs additional assistance, YMCA staff are always available.

The Branch Executive will investigate all reported incidents. If the Branch Executive determines a violation of this Code of Conduct has occurred, suspension or termination of YMCA membership privileges as stated in YMCA policy may result.

The YMCA only issues refunds or credits if the YMCA cancels a program or if the participant has a medical excuse. Programs not held on holidays or due to inclement weather are not refundable. System credits are good for one year from the date of issue. ALL refunds and system credits will require a 24-hour waiting period.

Returned checks and bank drafts will be assessed a $35 processing fee. All checks will be processed as Electronic Funds Transfer payments.

All past due balances must be paid in full prior to participation in any YMCA programs or use of a YMCA facility, including membership and day passes.

All memberships and membership fees are non-refundable and non-transferable.

Termination of membership must be done in person at any Dane County YMCA and must be done by the 25th of the month prior to the next draft date.  This does not pertain to Annual Monthly Memberships.

Termination of an Annual Monthly Membership can only be requested within two months of the renewal date and must  be done in person at any Dane County YMCA.

Pool Rules

  1. A swimsuit is required to enter the pool and whirlpool areas.  Please no cut offs short, gym shorts, t-shirts, or jeans.
  2. No food, drink, gum, or glass in the pool areas.
  3. Shower is required before entering the pool.
  4. No inflatable of any kind is allowed.
  5. Lifeguard on duty has final authority.

Gym Rules

  1. No dunking on baskets.
  2. No food or drink in the gym.
  3. Foul or abusive language will not be tolerated.
  4. Full court basketball games are limited to scheduled times; not during open gym hours.
  • Appropriate exercise attire is required at all times
  • Shoes must be worn at all times, no open toe/heel shoes allowed
  • No food is permitted
  • Water bottle only
  • Store belongings in locker rooms, token lockers or coat hooks – no bags permitted past the locker area
  • Respect others when using equipment
  • 30 minute time limit on cardiovascular equipment if others are waiting
  • Clean equipment after use – spray the towel, not the equipment
  • If doing multiple sets – please allow others to use the machines in between sets
  • Youth 10-12 must complete a Parent/Guardian & Child Orientation
  • Teens must be 13+ to complete a Teen Orientation
  • Teens who have taken the Teen Orientation must wear a wristband from the front desk
  • Teens must be at least 16 years old to use free weights 
  • Use of the Fitness Center is a privilege that can be revoked for misbehavior and/or mistreatment of the equipment

 

 

 

 

 

 

 

 

 

Fitness Center 

  • Members must be at least 16 years of age to use the Fitness Center.
  • Members ages 13-15 may attend a FREE Teen Orientation to have limited access to strength and cardio equipment in the Fitness Center.
  • Members ages 10-15 may attend a Parent/Child orientation to have limited access to cardio equipment in the Fitness Center. Parent must directly supervise the child at all times in the Fitness Center.

Pool

  • Children ages 6 and under must be actively supervised by an adult guardian in the water within arms reach.
  • One adult needs to be present for every 2 children under the age of 6.
  • Children age 7-9 must be actively supervised by an adult guardian in the pool area.
  • Children age 7-9 who have not passed the deep water test must be actively supervised by an adult guardian in the water or pool area.
  • Persons under the age of 18 must pass the deep water swim test to swim in the deep end of the pool.

Group Exercise Classes

  • Available for those 13 years and older; except BODYPUMP (Must be 16+)

Workout Child Watch

  • Available for children ages 6 weeks through 9 years

YMCA programs and events are often photographed for promotional purposes.  If you do not wish to be included in a YMCA photograph, please indicate this to the insturctor and/or photgrapher.  

The use of cell phones and other electronic devices are prohibited in ALL locker rooms and restrooms.

i. A physical or electronic signature of a person authorized to act on behalf of the owner of an exclusive right that is allegedly infringed;

ii. Identification of the copyrighted work claimed to have been infringed, or, if multiple copyrighted works at a single online website are covered by a single notification, a representative list of such works at that website;

iii. Identification of the material that is claimed to be infringing or to be the subject of infringing activity and that is to be removed or access to which is to be disabled, and information reasonably sufficient to permit us to locate the material;

iv. Information reasonably sufficient to permit us to contact the complaining party, such as an address, telephone number, and, if available, an electronic mail address at which the complaining party may be contacted;

v. A statement that the complaining party has a good faith belief that use of the material in the manner complained of is not authorized by the copyright owner, its agent, or the law; and

vi. A statement that the information in the notification is accurate, and under penalty of perjury, that the complaining party is authorized to act on behalf of the owner of an exclusive right that is allegedly infringed.

Background
The YMCA of Dane County, Inc. was incorporated in 1886. It is a member of the YUSA national organization. There are three locations in Dane County that serve the greater Madison, Wisconsin service area. This YMCA is a traditional “Y” with numerous programs for fitness, aquatics and overall health improvement.

Chronic Disease Based programs
We offer Chronic Disease Based programs in partnership with the YUSA. These include Diabetes Prevention, Livestrong Cancer and Pedaling for Parkinson’s programs. We also participate in Exert, a University based Alzheimer’s program. In order to participate in the Diabetes program we have secured a National Provider ID number. These Chronic Disease based programs put us in the position of likely being a “health care provider” and a “covered entity” subject to the rules and regulations of HIPAA.

Standard Fitness and Well Being Oriented Programs
Notwithstanding the above, the overwhelming majority of the programs and activities we offer on behalf of members and program participants are basic fitness oriented activities not meeting the definition of work performed by a “health care provider”. Thus, these programs and activities should not be subject to the specific rules and regulations of HIPAA. Examples of these programs include, but are not limited to, the following:
Sports (basketball, soccer, volleyball, football, lacrosse, track, swim, pickleball) 
Fitness (BodyPump, Boot Camp, Cycling, Insanity, Strength, Yoga, Zumba, Personal Training, Four Core Community Fitness, Nutrition Classes)
Special Events (Friday night at the Y, seasonal festivals, birthday parties) 
Youth Programs (Youth in Government, Karate, Dance, Gymnastics)
Child Care (Early Childhood Education, Licensed Preschool, School Age Care, Camps) Adaptive (Intellectual and developmental disability activities – Day programs, Special Olympics, Bowling, Basketball, Dinner & Movie Outings

Hybrid Declaration for HIPAA Purposes
In conducting some programs that may be subject to HIPAA and others that would not, the YMCA of Dane County would qualify as a “Hybrid Entity” under HIPAA.

We hereby confirm the YMCA of Dane County’s declaration that it shall operate as a Hybrid Entity for the purposes of compliance with the rules and regulations of HIPAA. Specifically, we will treat the Chronic Disease Based programs listed above as being subject to HIPAA compliance, whereas the Standard Fitness and Well Being Programs are Not subject to HIPAA compliance.
